The Subbie QS

Terms & Conditions

The Subbie QS terms and conditions apply to thesubbieqs.co.uk, client accounts and downloadable QS templates. This page was last updated on 21 October 2026.

Paid quantity surveying work is also subject to the written proposal or appointment agreed with the client. If that appointment conflicts with these website terms, the signed appointment takes priority for the service.

The Subbie QS terms and conditions: who we are

The Subbie QS is a subcontractor-focused service of QS and Estimating Consultants Ltd, company number 14808122, of Suite 22, The Alaska Building, Sitka Dr, Shrewsbury SY2 6LG. Contact: info@thesubbieqs.co.uk.

Accounts

You must provide accurate details, keep login credentials confidential and tell us promptly if you suspect unauthorised access. You are responsible for people using your account with your authority. We may suspend an account to protect security, investigate misuse or respond to non-payment.

Project-specific QS support

Scope, fees, capacity, deadlines and any ongoing work are agreed in a separate written appointment. Existing signed appointments continue to govern the services already agreed with each client.

Tender alert service

Two months free. Payment method required. £0 today. Then £25/month. Cancel anytime. This offer applies to new tender-alert subscriptions. Create your account, verify your email and choose your trades, postcode and radius or UK-wide coverage, and work-value preferences. Account creation alone does not activate a subscription or authorise a charge.

Save a card or eligible Apple Pay, Google Pay or Link payment method securely with Stripe, then review the actual first-payment date and explicitly confirm your subscription. Full access starts when this checkout confirmation succeeds. The trial lasts two calendar months in UK time; if the ending month has no matching day, it ends on that month’s last day. No setup fee, deposit or trial payment is charged.

Unless you cancel before the trial ends, Stripe automatically collects £25 on the disclosed first-payment date and every month thereafter. £25 is the total monthly price, including any applicable VAT; no VAT is added. This tender-alert price is an exception to any general exclusive-of-VAT wording for other services.

Use Cancel subscription in your tender Account/Subscription section at any time. No call, email or questionnaire is required. Cancelling during the trial prevents the first payment and keeps full access until the original trial expiry. Cancelling after payment stops future renewals and keeps access until the end of the paid period. We show the access-end date and send a cancellation confirmation. Cancellation does not reverse earlier payments or any earlier outstanding invoice.

We send trial-start confirmation and reminders seven days and one day before the first payment. Payment reminders stop once cancellation is scheduled. Pausing or unsubscribing from tender notification emails does not cancel billing. “Cancel anytime” in this offer applies to tender alerts, not to separate website or QS service commitments.

Existing customers keep their agreed billing arrangements and existing free-trial entitlements. An existing free account is never enrolled or charged without an explicit subscription agreement. The introductory free trial is available once per account. Free tender previews remain available when full subscription access ends, subject to account security and service availability.

Alerts depend on matching preferences and available public-source information. Read each original notice and its current eligibility requirements. Open framework and dynamic purchasing system notices can be invitations to qualify for future work rather than individual jobs. Tender volume, invitations, eligibility and work are not guaranteed. Source scope is described on the Tender Notification Portal.

Subscriptions

The service page and checkout show the price, billing period and any minimum commitment. Renewal, cancellation and any refund position follow the terms agreed when you subscribed. Existing written service agreements continue to apply.

VO Central subscription and trial

VO Central is a separate software subscription costing £5.00 per active user each month. New company accounts can start one 14-day free trial through Stripe Checkout. A payment method is collected before the trial begins but the first recurring charge is not due until the trial ends. Unless cancelled before the end of the trial, the company subscription continues monthly at £5.00 for each active user until cancelled. The company owner manages the subscription and access can be restricted after cancellation, failed payment, expiry or misuse.

Stripe payments

Card checkout and billing management take place on Stripe-hosted pages. We do not receive or store full card details. You authorise the recurring charge selected at checkout. Contact us promptly about an invoice or billing error.

Client documents and instructions

You must provide complete, accurate and timely documents, facts, approvals and instructions. You remain responsible for checking and authorising anything issued in your name. Outcomes can depend on contract wording, records, timing and decisions made by other parties; no recovery, assessment or dispute outcome is guaranteed.

Templates

Downloadable templates are licensed to the recipient and their business for internal project use. You may adapt them for your jobs, but must not resell, publish, sublicense or distribute them as a competing template product. Templates are general working tools, not legal advice, and must be checked against the signed contract, amendments, dates and facts.

Intellectual property

The website, branding and original template structure remain owned by or licensed to QS and Estimating Consultants Ltd. Client-specific documents and pre-existing client material are dealt with under the written appointment.

Availability and liability

We aim to keep the website and portal available but cannot promise uninterrupted access. Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Other liability limitations for paid services are set out in the written appointment.

Acceptable use

Do not attempt to bypass security, access another client account, upload malicious material, overload the service or use the website unlawfully. We may block access and preserve relevant records where misuse is suspected.

Privacy

Personal information is handled as described in our Privacy Policy. Cookie information is in our Cookie Policy.

Law

These website terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, subject to any mandatory rights that apply.

A practical guide to these terms

First, read the written appointment for the scope of paid QS work. Next, compare these website terms with the service or subscription you selected. Then, keep the agreed plan, capacity and billing period with your business records. After that, give authorised users their own account details and remove access when somebody leaves.

Before issuing client documents, check the project facts and approve the final version. Likewise, review every template against the signed subcontract. If a deadline changes, tell the QS team promptly. If a payment looks wrong, raise the query with the invoice details. Meanwhile, keep passwords and private project files secure. In addition, avoid sharing another client’s information through your account.

For annual subscriptions, confirm the commitment before checkout. For monthly plans, review the next billing date before making a change. During a VO Central trial, cancel before the stated trial end if you do not want the subscription to continue. Otherwise, Stripe will collect the recurring charge shown at checkout. Finally, contact us when the website terms or the written appointment do not answer a practical question.
